Sponsorship

Sponsored Pavilions of various sizes shall be available at the conference venue. The categories of sponsorship proposed are Platinum, Diamond & Silver. Charges for the major sponsored area have been kept low as compared to the annual conference of the AIOS (Green Zone = Rs. 35,000/- Per Sq M). Charges for the smaller stalls have also been kept low as compared to the Annual Conference of the AIOS.

  • Acknowledgment in communications sent to the delegates pre and post-conference.
  • A dedicated space on the conference website where the company product details with the contact person’s name and details will be specified.
  • Branding in the monthly conference newsletters.

Trade Stall

  • Trade Stall will be available in 4 categories depending on the location of the stall.
    Super prime + Corner (SP) (4 x 2 SQ M)
    Prime + Corner (PC) (3 x 2 SQ M)
    Prime (P) (3 x 2 SQ M)
    Corner (C) (3 x 2 SQ M)
    Normal (N) (3 x 2 SQ M)
  • Adequate moving space will be provided around the stalls.
  • The security, cleaning, climatization and provision of water will be arranged by AIOS.
  • The following facilities will be provided in each stall:
    Wooden or plywood partitions.
    One 15 Amp. electric point
    Two chairs
    One table of standard size with tablecloth
    A nameplate with 4” acrylic letters for each stall for uniformity sake.
    Free electricity for basic needs. Additional power will be chargeable subject to availability.
  • The exhibition area will be open for occupation by the traders from 2:00 pm on 25th October 2024. All stall holders will have to vacate the area by 5:00 pm on 27th October 2024.
  • Stall Charges

    The overall structure of stall charges, including GST @ 18% will be as follows:

    Note: The TDS will be on the basic amount of stall charges and not on the Govt. Tax amount.

General Terms & Conditions :

  • A maximum of 3 (Three) adjacent stalls can be allotted to one company in the small trade category on payment of the entire amount. Any alteration of the stall area or any fabrication therein is not permitted except removal of partitions in the case of adjacent stalls.
  • In case traders carry out fabrication in the TRADE STALL after allotment, it will be considered a violation of the instruction.
  • In case the company/traders desire to carry out fabrication in the trade stall, permission is required strictly within the given guidelines and total stall charges payable will be stall charges as indicated above plus an additional charge of Rs. 50,000/- per stall + GST @18% thereon or as fixed / changed by the Govt. of India.
  • If permission is taken during the Conference an additional charge @ Rs. 1,00,000/- per stall + Govt Taxes, in addition to the stall charges already paid, failing which the allotment will be ipso facto cancelled with no refund.
  • Any request from any firm for allotment of stalls booked by them adjacent to any other firm will not be considered.
  • All efforts will be made to stick to the trade exhibition plan for the stalls, but organisers reserve the right to change the locations of the booth for better functioning. In such an eventuality, if the booths are not booked in one company’s name, they may get segregated. However, in such an eventuality, no cancellation charges will be levied if the booking is cancelled by the traders.
  • Organisers are not responsible for any damage to the equipment(s) due to electricity fluctuation or any other unforeseen factors.
  • Request for another company’s stall to be adjacent may or may not be entertained. It will be purely at the discretion of the organisers
  • Additional Stall : In case any firm that has already booked the stalls is subsequently desirous of having any additional booth (s) the rates for the additional stalls will be those as prevalent at the time when the additional booths are booked and not at the prices at which the firm initially booked the stalls.
  • Each company will be entitled to only one registration kit‚ irrespective of the number of stalls booked. Each stallholder will, however, be entitled to two lunch coupons for every day of the conference.
  • No trade participant who has enrolled for a trade exhibition with AIOS will be allowed to conduct any promotional or sales activity outside official premises (within a 50 km radius of the AIOS conference site) during the conference or 2 days before and after the conference, without prior permission (which may be granted in a special situation like alumni meet which is a regular event)
  • Participant in the exhibition during Mid-Term will not conduct any activities detrimental to the trade exhibition or conference. In such case they will be debarred with immediate effect from the exhibition & no deposit or money paid will be refunded.
  • In case any traders take any booking in any exhibition other than that of AIOS the amount deposited with the AIOS will not be refunded.

Recognition of Best Stalls :

  • The stall adjudged to be the best during the exhibition will be awarded a trophy by AIOS. In the category of smaller trade stalls, the three stalls adjudged to be the best will be awarded a “Certificate of Merit”.

Cancellation of Stalls :

  • The amount of stall charges once deposited will not be transferred towards sponsorship in any case. In case the stalls once booked are subsequently cancelled the refund of stalls charges will be subject to the following conditions :
  • In case of any cancellation up to 15-08-2024 - after a deduction of 25% of the deposit.
  • In case of any cancellation up to 15-09-2024 – after a deduction of 50% of the deposit.
  • In case of any cancellation after 01-10-2024 /non-participation for any reason – No refund.
  • The amount of GST is credited to the government account, and therefore, there will be no refund at all for Govt. Tax Amount
